To dictate an email in Outlook with Voktik, click in the message, hold Ctrl+Win, say your email, and let go. The text lands in the email with the ums and ers taken out and the punctuation in. It works in the new Outlook, classic Outlook and Outlook on the web.

Dictate an email, step by step

  1. Start a new email or a reply, and click in the message body.
  2. Hold Ctrl+Win and say the email: the greeting, the body, the sign-off.
  3. Let go. The text arrives a moment later.
  4. Read it once, then press Send yourself. Voktik never sends an email for you.

For a long email, press Ctrl+Win+Space once and talk with your hands free. If someone walks in, press Ctrl+Alt+P to pause, and again to carry on. Press Ctrl+Win+Space to finish.

Make every Outlook email read like one

Voktik can use a writing style for each app. For email there are two:

  • Professional email (Pro). Clear paragraphs and no slang, with your greeting and sign-off set out on their own lines. A casual greeting or sign-off is made plain: "Hey Tom" becomes "Hi Tom", and "Cheers mate" becomes "Thanks". On Pro, the ready-made Email rule uses it in the new Outlook, classic Outlook and Outlook on the web, with nothing to set up.
  • Friendly email (free). Warm but tidy, with your contractions kept.

On the free plan, emails still get a proper email layout. To use Friendly email in Outlook, open Styles, select Add a rule, choose Friendly email, and under Apps tick Outlook, or type olk.exe for the new Outlook (outlook.exe for classic). Then select Add rule.

A style never adds words you didn't say. It won't write a greeting or a sign-off for you; it only sets out the ones you said.

Your sign-off in two words

Save your full sign-off as a snippet: open Snippets, select Add snippet, type "my sign-off" under When you say, and your name, title and phone number under Voktik types. Line breaks are kept. Now say "my sign-off" at the end of an email and it goes in exactly as you saved it. Three snippets are free; more is Pro.

Outlook on the web

Voktik types into Outlook on the web the same way, in Chrome, Edge, Firefox, Brave, Opera, Vivaldi and Arc. It knows you're in Outlook from the browser tab's title, which it reads on your PC and never sends anywhere, so the Email rule applies there too.

Tips for dictated emails

  • Say the greeting, pause, then the body. Voktik sets the greeting on its own line.
  • Say "new paragraph" where you want a break.
  • Talk it all through, then edit once. Stopping to fix each word is slower than typing.
  • Names coming out wrong? Add them to your Dictionary once, free, and Voktik spells them right every time.
  • Went into the wrong box? Press Shift+Alt+Z to paste your last dictation again where your cursor is now.

FAQ

Does Voktik work in the new Outlook?

Yes. It works in the new Outlook, classic Outlook and Outlook on the web. On Pro, the ready-made Email rule covers all three.

Will Voktik send my email?

No. It types the email and leaves sending to you. Its "Send for me" setting, which presses Enter in chat apps, never works in email apps.

Is Professional email free?

No, it's a Pro style. On the free plan you can use Friendly email for Outlook with a rule of your own, and emails still get a proper layout.

Can I dictate an email in another language?

Yes. Voktik works in 100 languages, and accuracy varies by language. To speak English and get the email in German, use Write in, a Pro feature.
